AREF-IC 2026 Conference Registration Terms & Conditions

These Terms & Conditions apply to all delegates registering for the Asia Rubber-Elastomer

Federation International Conference 2026 (AREF-IC 2026) organised by the The Plastics and Rubber Institute Malaysia (PRIM). By submitting a registration, participants agree to be bound by the following terms.

1. Registration & Eligibility

• All registrations are subject to acceptance by the Organiser.

• Registration is deemed confirmed only upon receipt of full payment.

• Registration is non-transferable without written notification to PRIM

2. Registration Fees

• Fees include access to conference sessions, conference materials, and refreshments as outlined in the official programme.

• Fees exclude accommodation, transportation, visa fees, insurance, and personal expenses.

• PRIM reserves the right to cancel the registration if no payment is received prior to or on the date of the event.

• Full fee is charged regardless of the length of time the participant attends the event and cannot be pro-rated.

3. Sales & Service Tax (SST)

• Conference fees are subject to the prevailing 8% Sales & Services Tax (SST), where applicable.

• Any change in tax rates imposed by the Government of Malaysia shall be borne by the participant.

4. Payment Terms

• Full payment must be received within the registration schedule and payment deadline stated on the invoice.

• Accepted payment methods include bank transfer, credit card and other methods as specified by PRIM.

• All bank charges, foreign exchange costs, and transaction fees shall be borne by the participant.

5. Confirmation of Registration

• A confirmation email will be issued upon successful receipt of payment.

• The confirmation email serves as official proof of registration.

16. Cancellation & Refund Policy

• No refund for cancellation received after registration confirmation or for none-attendance (no shows).

• All cancellation requests must be submitted in writing to the PRIM, and subject to PRIM approval.

7. Delegate Substitution

• Delegate substitutions are permitted with prior written notification to the PRIM

• Substituted delegates must be from the same organisation, subject to PRIM approval.

8. Programme Changes

• PRIM reserves the right to amend the conference programme, speakers, topics, venue, or schedule without prior notice

• Such changes shall not constitute grounds for a refund.

9. Event Postponement or Cancellation

• In the event of postponement, rescheduling, or cancellation due to force majeure or circumstances beyond the Organiser’s reasonable control, PRIM reserves the right to retain the registration fee as credit for a future event or issue a refund at its discretion.

• PRIM shall not be liable for any travel, accommodation, or related costs incurred by participants.

10. Liability & Insurance

• Participants attend the conference at their own risk.

• The Organiser shall not be liable for any personal injury, loss, or damage to property during the event.

• Participants are strongly advised to arrange their own travel and health insurance.

11. Personal Data Protection

• Personal data collected will be used solely for event administration, communication, and operational purposes.

• PRIM complies with the Personal Data Protection Act 2010 (PDPA) of Malaysia.

12. Photography & Recording

• The Organiser reserves the right to photograph, audio record, or video record the conference.

• Such materials may be used for marketing, publicity, or reporting purposes without compensation.

13. Governing Law

• These Terms & Conditions shall be governed by and construed in accordance with the laws of Malaysia.
